We are looking for a highly organized, detail-oriented individual to support youth-focused program operations in Albany, New York. This contract opportunity with the potential for a permanent role is ideal for someone who can balance administrative coordination, staff support, community engagement, and program oversight in a fast-paced environment. The person in this role will help drive high-quality services for children and families while maintaining strong operational standards, clear communication, and dependable documentation.

Job Responsibility:

  • Oversee administrative and operational activities for youth programs, helping ensure daily services run smoothly across onsite and offsite locations
  • Coordinate schedules, meetings, conference calls, and program calendars while supporting leadership with timely updates and follow-through on key initiatives
  • Track program records, evaluations, registrations, and documentation to maintain accurate files and support reporting needs
  • Assist with budget-related administration, purchasing, payroll submission, and supply coordination to keep programs properly resourced
  • Support onboarding, training logistics, and ongoing supervision processes for program staff throughout the year
  • Build positive relationships with families, community partners, and stakeholders to strengthen participation, retention, and outreach efforts
  • Help organize special events, open houses, weekend activities, and family engagement opportunities that enhance the overall program experience
  • Maintain compliance materials, licensing records, staff certifications, and other required documentation to support audits and regulatory reviews
  • Partner with facilities and internal teams to promote safe, clean, and secure environments for children, families, staff, and visitors
  • Update program communications, including website or social media content, to keep families informed about services, schedules, and events

Requirements:

  • Demonstrated experience in administrative support, program coordination, or office operations within a fast-paced environment
  • Strong calendar management skills with the ability to organize meetings, priorities, and multiple deadlines effectively
  • Experience maintaining detailed records, reports, and confidential files with a high level of accuracy
  • Ability to communicate professionally with families, staff, community partners, and leadership
  • Background supporting community outreach, community events, or engagement activities is preferred
  • Comfortable handling payroll-related submissions, supply ordering, and general operational coordination
  • Knowledge of compliance-driven documentation practices, including licensing or certification tracking, is an advantage
