Job Description

We’re looking for a hands-on, highly organized Workplace Specialist to own the day-to-day operations of our San Francisco office and help scale our physical footprint as we grow. This role blends workplace operations, employee experience, and real estate support — ideal for someone who enjoys creating an intentional, well-run office and fostering a positive onsite culture. You’ll be responsible for keeping the office running smoothly, supporting employees day-to-day, managing vendors and budgets, and partnering with leadership on team and office growth. You’ll also play a key role in shaping office culture through events, gatherings, and shared experiences.

Job Responsibility

  • Own daily office operations to ensure a welcoming, functional, and well-stocked workplace
  • Manage meal programs, kitchen inventory, office supplies, and overall office organization
  • Partner with IT/AV teams to support onsite technology, conference rooms, and equipment needs
  • Serve as the primary point of contact for office-related requests and issues
  • Help shape and maintain a positive, efficient employee onsite experience
  • Act as a steward of office culture and employee experience in our SF office
  • Plan and execute recurring onsite moments such as monthly happy hours, team lunches, and celebrations
  • Support company events, offsites, and in-office programming
  • Create an office environment that encourages connection, collaboration, and a strong sense of community
  • Source, manage, and maintain relationships with vendors (cleaning, facilities, food, events, etc.)
  • Track and manage workplace and event budgets, invoices, and expenses
  • Identify opportunities to improve efficiency and reduce costs without sacrificing experience
  • Support office growth initiatives, including researching new office spaces and coordinating moves
  • Assist with lease management, renewals, and landlord communication
  • Coordinate office moves, build-outs, and transitions with internal teams and external partners
  • Maintain documentation related to leases, floor plans, and facilities agreements

Requirements

  • 4+ years of experience in workplace management, office management, facilities, or a similar role
  • Experience supporting real estate activities such as office searches, lease management, or office moves
  • Strong organizational and project management skills with the ability to manage multiple priorities
  • Comfort managing budgets, vendors, and contracts
  • Excellent communication skills with a people-first, service-oriented mindset
  • Tech-savvy and comfortable partnering with IT/AV teams
  • Ability to be onsite daily in our San Francisco office
  • Experience in a startup or high-growth environment
  • Experience planning employee events or managing workplace programming
