Job Description

Proclinical is seeking a Workplace Solutions Facility Manager to oversee soft services and operational excellence across multiple pharmaceutical lab and office facilities in the US. The position focuses on driving continuous improvement in service delivery to support research and corporate activities.

Job Responsibility

  • Manage daily soft services operations across multiple lab-office sites, ensuring consistent service levels and compliance with standards
  • Conduct regular site visits for inspections, walkthroughs, and facility upkeep, documenting findings and ensuring timely resolution
  • Oversee contracted vendors for janitorial, waste management, recycling, security, and other services, including contracts, scheduling, and service-level agreements
  • Lead and coordinate special cleaning projects, such as deep cleans, renovation clean-ups, and bio-cleaning, minimizing operational disruptions
  • Manage relationships with security vendors and support security-related projects, including access control and emergency response coordination
  • Supervise, coach, and develop site coordinators, setting goals, conducting performance reviews, and providing training
  • Create and maintain inspection checklists, compliance documentation, and corrective action plans, ensuring timely remediation of deficiencies
  • Monitor vendor invoices and KPIs, ensuring accurate billing and contract compliance in collaboration with procurement and finance teams
  • Support incident response and recovery efforts related to soft services, such as water leak remediation or sanitation events
  • Implement continuous improvement initiatives to enhance cleanliness, safety, and cost-effectiveness of facilities
  • Ensure all activities comply with health, safety, environmental, and regulatory requirements for pharmaceutical labs and office environments

Requirements

  • Background in Facilities Management, Business Administration, Environmental Health & Safety, or related field, or equivalent experience
  • Experience managing facilities, workplace, or vendors in a multi-site environment, preferably in life sciences, pharmaceuticals, or laboratory settings
  • Proven ability to manage janitorial vendors, security contracts, and special cleaning projects
  • Supervisory experience with direct reports, including coaching and development of staff
  • Strong knowledge of compliance, EHS considerations, and site access-security practices for lab environments
  • Excellent communication, stakeholder management, and organizational skills
  • Valid driver's license and ability to travel frequently between sites

Nice to have

  • Certifications such as IFMA's FMP/CEFM, BICSc, or similar credentials
  • Familiarity with contractor management systems, quality inspections, and KPI-driven vendor oversight
  • Knowledge of controlled lab environments, biosafety protocols, and specialized cleaning practices
  • Experience with budget monitoring and vendor invoicing processes
