We are seeking a highly organized and proactive Workplace Service Coordinator & Vendor Management Associate to support daily office operations while serving as a key liaison for vendor coordination and executive support. This role is ideal for someone who thrives in a fast-paced environment, demonstrates strong attention to detail, and can manage multiple priorities with professionalism and discretion.
Job Responsibility:
Oversee day-to-day office operations to ensure a seamless and efficient work environment
Manage office supplies, equipment, and vendor services
Coordinate office maintenance, facilities requests, and workplace services
Serve as the main point of contact for internal staff and external visitors
Support vendor onboarding, including documentation collection and due diligence
Maintain vendor records, contracts, and compliance documentation
Partner with internal teams to track vendor performance and contract renewals
Ensure adherence to company policies related to third-party risk and compliance
Provide administrative support to senior leadership, including calendar management and meeting coordination
Assist with travel arrangements, expense reports, and scheduling logistics
Prepare documents, reports, and presentations as needed
Handle confidential information with a high level of discretion
Act as a liaison across departments to ensure smooth communication and workflow
Assist with internal events, meetings, and special projects
Maintain organized records and filing systems
Requirements:
3+ years of administrative, office management, or vendor coordination experience
Strong organizational and multitasking skills with exceptional attention to detail
Experience with vendor onboarding, contracts, or compliance processes preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Excellent written and verbal communication skills
Ability to handle sensitive information with professionalism and confidentiality
Nice to have:
Experience with systems such as SAP, Coupa, Concur, or similar tools
Background supporting senior executives or C-suite leaders
Strong problem-solving skills and a proactive mindset
