Job Description

We are seeking a highly organized and proactive Workplace Service Coordinator & Vendor Management Associate to support daily office operations while serving as a key liaison for vendor coordination and executive support. This role is ideal for someone who thrives in a fast-paced environment, demonstrates strong attention to detail, and can manage multiple priorities with professionalism and discretion.

Job Responsibility

  • Oversee day-to-day office operations to ensure a seamless and efficient work environment
  • Manage office supplies, equipment, and vendor services
  • Coordinate office maintenance, facilities requests, and workplace services
  • Serve as the main point of contact for internal staff and external visitors
  • Support vendor onboarding, including documentation collection and due diligence
  • Maintain vendor records, contracts, and compliance documentation
  • Partner with internal teams to track vendor performance and contract renewals
  • Ensure adherence to company policies related to third-party risk and compliance
  • Provide administrative support to senior leadership, including calendar management and meeting coordination
  • Assist with travel arrangements, expense reports, and scheduling logistics
  • Prepare documents, reports, and presentations as needed

Requirements

  • 3+ years of administrative, office management, or vendor coordination experience
  • Strong organizational and multitasking skills with exceptional attention to detail
  • Experience with vendor onboarding, contracts, or compliance processes preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Excellent written and verbal communication skills
  • Ability to handle sensitive information with professionalism and confidentiality

Nice to have

  • Experience with systems such as SAP, Coupa, Concur, or similar tools
  • Background supporting senior executives or C-suite leaders
