We are looking for a Workplace Experience Coordinator to create a welcoming, organized, and attentive environment for employees and visitors in Irvine, California. Job Responsibility
Welcome employees, guests, and vendors with a courteous and service-focused approach while managing the front desk experience
Coordinate visitor check-in procedures, issue badges as needed, and ensure guests are directed promptly and efficiently
Provide day-to-day administrative support for workplace operations, including scheduling assistance, meeting room coordination, and general office communication
Monitor shared spaces to help maintain a clean, organized, and functional office environment that reflects a high standard of hospitality
Respond to employee and visitor requests in a timely manner, resolving routine issues or escalating concerns to the appropriate team
Support office events, onsite meetings, and employee experience activities by assisting with logistics, setup, and vendor coordination
Maintain accurate records, supply inventories, and workplace documentation using Microsoft Office and related administrative tools
Partner with internal teams and building contacts to address operational needs and help ensure a seamless onsite experience
Requirements
Experience in reception, front desk support, workplace services, or a similar customer-facing administrative role
Strong verbal and written communication skills with a detail-oriented and approachable demeanor
Proficiency in Microsoft Office, including Outlook, Word, and Excel
Ability to manage multiple priorities while staying organized and attentive to detail
Demonstrated commitment to delivering excellent service in a fast-paced office setting
Comfortable interacting with employees, visitors, and vendors in a courteous manner
Ability to work independently, exercise sound judgment, and handle sensitive information with discretion
