Workplace Experience Co‑ordinator role in the Glasgow office. The person will be the first person visitors meet, and the friendly voice colleagues depend on. Alongside reception duties, they will help keep workplace operations running smoothly, support the wider portfolio and make sure everything behind the scenes is organised and up to date. They will work closely with the Workplace Champion and the Account Support Manager, but will also have space to take ownership, make decisions and work independently.
Job Responsibility:
Welcome visitors, colleagues and contractors, creating a friendly and professional first impression
Look after reception tasks, visitor sign‑ins and meeting room bookings, helping the day run smoothly for everyone
Complete site walk‑arounds, report issues, keep systems updated and make sure compliance records stay accurate
Coordinate maintenance activity, support subcontractor visits and follow work orders through from start to finish
Help with orders, invoices and simple reporting, keeping processes clear and organised
Support the Workplace Champion during absence, including helping with cleaning audits, stock checks and routine facilities tasks
Work with contractors on site and help maintain safe, well‑run spaces that follow Health & Safety expectations
Manage your workload confidently and support the operational team so service standards are met
Handle sensitive and protected information responsibly, following company and client policies
Ensure contractors are properly inducted and documentation is completed and stored correctly
Follow Atlas Workplace Services processes and know when to pause unsafe work or escalate concerns
Bring a calm, professional and positive approach to your work each day
Manage time well, respond constructively to requests and complete tasks reliably
Build open, supportive relationships with clients and workplace users
Present yourself in a friendly, confident and respectful way, helping create a welcoming culture
Work within agreed guidelines while using your initiative when needed
Escalate any Health & Safety concerns to Atlas Workplace Services, including the Head of Health & Safety when required
Requirements:
GCSE (or equivalent) in English and Maths
Recognised Customer Service qualification
Accredited Health & Safety qualification (e.g. IOSH Working Safely or equivalent)
First Aid Certificate — Emergency First Aid at Work as a minimum requirement
Previous experience in front‑of‑house, client services or corporate reception environments
Strong customer service skills with a confident, professional telephone manner
Excellent interpersonal, verbal and written communication abilities
Competent IT skills across Microsoft Office, including Word, Excel and Outlook
Experience with document management and maintaining accurate records
Ability to work effectively under pressure, managing deadlines and changing priorities with ease
