We are looking for a dedicated Workplace Coordinator to join our team in New York, New York. This long-term contract position is ideal for someone who thrives in a fast-paced environment and enjoys ensuring the seamless operation of office activities. You will play a key role in supporting the office's daily functions, maintaining a welcoming atmosphere, and assisting with administrative tasks.
Job Responsibility:
Welcome visitors and clients at the front desk, manage appointment scheduling, and ensure a detail-oriented first impression
Monitor and replenish office supplies, beverages, and pantry items, tracking inventory and placing orders as needed
Oversee mail and package management, including sorting, distributing, and coordinating deliveries
Maintain the cleanliness and organization of common areas, including the pantry, coffee bar, and kitchen spaces
Set up video conferences and in-person meetings, including booking rooms, arranging supplies and refreshments, and cleaning up afterward
Coordinate catering orders for meetings and events, typically serving groups of 20–40 people
Track office visitors and manage entry flow by recording attendance and entering visitor details into the building security system
Provide basic IT support, such as troubleshooting minor issues and transferring calls
Assist attorneys with light administrative tasks, including faxing and document handling
Collaborate with vendors for building maintenance, technology, food, and supply deliveries
Requirements:
Proven experience in coordinating schedules, meetings, and events
Strong ability to manage inventory and restock supplies efficiently
Excellent communication skills for greeting visitors and answering inbound calls
Familiarity with setting up and cleaning conference rooms and arranging catering services
Basic understanding of IT troubleshooting and call transfer processes
Ability to liaise effectively with vendors and external service providers
Organizational skills to maintain office presentation and cleanliness
Experience in providing light administrative support, including document handling and faxing
