We are looking for a dedicated Workplace Associate to join our team on a contract basis in Los Angeles, California. In this role, you will play a key part in ensuring the smooth operation of our workplace while fostering a welcoming and efficient environment for employees, visitors, and vendors. This position requires a proactive individual with strong organizational skills and an attention to detail who thrives in a fast-paced environment.
Job Responsibility:
Serve as the first point of contact by greeting and assisting visitors and vendors with warmth and courtesy
Oversee the reception area, ensuring it remains clean, organized, and presentable at all times
Handle incoming mail and packages, including logging, sorting, and distributing them efficiently
Coordinate and manage team-building events, both on-site and off-site, to enhance employee engagement
Develop and distribute monthly newsletters featuring office events and engagement activities
Monitor and address facility needs such as cleaning, maintenance, and repairs while liaising with service vendors
Maintain inventory of office supplies and systems, ensuring timely repairs and replacements when needed
Schedule and manage company-wide meetings, holidays, and other key events using the inter-office calendar
Respond to employee inquiries about office management concerns and collaborate across departments to find solutions
Manage the workplace budget, monitoring expenses and vendor contracts effectively
Requirements:
Proficiency in computerized maintenance management systems (CMMS) to oversee facility operations
Experience coordinating conference rooms and managing related logistical needs
Familiarity with Kronos Timekeeping System or similar platforms for tracking attendance and schedules
Strong organizational skills with the ability to multitask and prioritize tasks effectively
Excellent communication skills to interact with employees, vendors, and visitors at all levels
Knowledge of workplace management practices, including inventory control and vendor relations
Ability to handle confidential documents and maintain sensitive information securely
Previous experience in a facilities assistant or coordinator role is preferred
