Job Description:

We are looking for a dedicated Workplace Associate to join our team on a contract basis in Los Angeles, California. In this role, you will play a key part in ensuring the smooth operation of our workplace while fostering a welcoming and efficient environment for employees, visitors, and vendors. This position requires a proactive individual with strong organizational skills and an attention to detail who thrives in a fast-paced environment.

Job Responsibility:

  • Serve as the first point of contact by greeting and assisting visitors and vendors with warmth and courtesy
  • Oversee the reception area, ensuring it remains clean, organized, and presentable at all times
  • Handle incoming mail and packages, including logging, sorting, and distributing them efficiently
  • Coordinate and manage team-building events, both on-site and off-site, to enhance employee engagement
  • Develop and distribute monthly newsletters featuring office events and engagement activities
  • Monitor and address facility needs such as cleaning, maintenance, and repairs while liaising with service vendors
  • Maintain inventory of office supplies and systems, ensuring timely repairs and replacements when needed
  • Schedule and manage company-wide meetings, holidays, and other key events using the inter-office calendar
  • Respond to employee inquiries about office management concerns and collaborate across departments to find solutions
  • Manage the workplace budget, monitoring expenses and vendor contracts effectively

Requirements:

  • Proficiency in computerized maintenance management systems (CMMS) to oversee facility operations
  • Experience coordinating conference rooms and managing related logistical needs
  • Familiarity with Kronos Timekeeping System or similar platforms for tracking attendance and schedules
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Excellent communication skills to interact with employees, vendors, and visitors at all levels
  • Knowledge of workplace management practices, including inventory control and vendor relations
  • Ability to handle confidential documents and maintain sensitive information securely
  • Previous experience in a facilities assistant or coordinator role is preferred
