Job Responsibility:
Meeting and greeting visitors and colleagues
Following the visitor management process
Liaising with the building reception team
Ensure the meeting rooms, reception area and collaboration spaces are presentable
Assist with the moving and organisation of office equipment and meeting room furniture
Organising and serving catering and refreshments to clients
Ensuring refreshment areas are kept well stocked, clean and tidy
Follow procedures to ensure coffee machines are well maintained
Setting up and clearing down meeting rooms
Ensure meeting rooms and office resource areas are stocked with correct stationary
Setting up the required equipment in the meeting rooms
Organise IT team support if required
Answering ‘phone calls within 3 rings
Responsible for managing the meeting room and car park bookings
Liaising with clients about their bookings and requirements
Reporting any equipment/furniture that requires fixing or replacing
Assist with ensuring we implement our environmental policy
Pro-actively ensure good housekeeping
Identify any H&S, cleaning or maintenance issues and report promptly
Assisting with the delivery of events
Copying, printing and scanning documents
Transferring of data
Sending outgoing mail and inter-office mail
Distribution of incoming/inter office mail and couriered items
Hand deliveries and collections
Retrieving and sending files to and from offsite storage
Arrange outgoing couriers and special deliveries
Arrange for large volume printing, scanning and document finishing work
Prepare for new starters and leavers
Ensure all information displayed in the office is appropriate and up to date
Assist with supervision of any external contractors
Assist with any facilities related activities including fire warden and first aid duties
Ensure all information on notice boards are updated
Assist with new starter induction tours
Ad hoc duties as required
Travel to other locations to help cover duties during sickness or holiday
Requirements:
Experience of working in a similar role within professional services
Flexibility with working hours is essential
Excellent IT skills and ability to use Microsoft Office products and other systems
Ability to work well under pressure to meet deadlines
Exceptional organisation skills
Effective communicator with the ability to build and maintain relationships at all levels
