This is a rare and exciting opportunity to join the Older People's Community Mental Health Services as a Workforce and Management Secretary. This post will support our workforce and management teams within Older Peoples' Community Mental Health. You will be joining an efficient and established team of administrative staff supporting with various tasks including maintaining annual leave, minute taking team meetings, assisting with recruitment processes, maintaining accurate personnel records, monthly payroll returns and providing assistance to the Navigo wide workforce team with arranging and minute taking various HR meetings.
Job Responsibility:
Provide comprehensive and robust administrative management support including meeting setting and diary management to the Clinical Team Leads
Assist in cover of aspects of the role of other Senior Administration roles
Work closely with Clinical Team Leads assisting in the recruitment process
Set up of new staff on all systems and organise induction timetables
Manage all electronic staff files for area of service
Manage the requested annual leave for the Clinical Team Leads
Liaise with the Occupational Health Department
Undertake month end reporting for area of service
Provide monthly detailed absence information to external payroll providers
Support Management in the regular updating of Business Continuity Plans
Upkeep and maintain the IT equipment/medical devices equipment register
Upload compliments and complaints information to the DATIX system
Assist in the undertaking of regular audits
Assist in the production of Presentations
Maintain effective financial systems and records
Offer support as requested to both internal and external meetings
Provide comprehensive administrative support to the Clinical Team Leads for Serious Investigations, complaints and staff grievances
Type and format documentation and correspondence
Deal with telephone enquiries from Service Users
Liaise with a range of internal and external personnel
Contribute and assist in the implementation of new administration procedures
Ensure health and safety procedures are adhered to
Attend and participate in Team Development activities
Act on own initiative and raise any relevant concerns
Maintain confidentiality at all times
Comply with Health and Safety Regulations
Effectively manage compliance in mandatory training
Maintain an up to date and proficient working knowledge of Navigo policies
Provide administrative input and perspective to developments within service
Requirements:
Ability to communicate at all levels
Excellent customer service skills with the experience and ability to deal with telephone enquiries from other Agencies, Service Users, their families and carers as well as Mental Health professionals
Ability to minute complex clinical meetings
Proven audio typing skills
Confident and approachable

Educated to GCSE level grade A to C or equivalent including Mathematics and English Language
RSA/OCR Grade 3 Typing/Word Processing standard
Able to demonstrate knowledge, experience and training
Management of staff records
Financial knowledge i.e. sourcing equipment, raising purchase orders, month end credit card returns etc
Excellent diary management skills
Maintaining databases and spreadsheets
Previous experience at working at PA/Secretary/Administration level working to Management level staff
Proven ability to direct and lead staff
Understands the need for confidentiality
Understanding of client group
