Work Order Coordinator

• Coordinate and schedule service activities for skilled trades, custodial staff, and grounds teams to ensure timely maintenance and repairs of buildings, equipment, and structures
• Manage and track work orders using multiple software systems to maintain accurate records
• Utilize Microsoft Office tools, including Excel, Word, and Outlook, to document service calls and communicate effectively
• Provide exceptional customer service by assisting clients with their inquiries and resolving issues promptly
• Adapt to a dynamic work environment while maintaining high performance standards
• Accurately type and document service calls, ensuring all relevant details are captured
• Monitor schedules and adjust assignments as needed to optimize efficiency
• Collaborate with team members to prioritize tasks and meet deadlines
• Support dispatching activities to ensure smooth workflow operations
• Maintain detailed and organized documentation to streamline reporting and follow-ups

• Proven experience in dispatching or work order management
• Proficiency in Microsoft Office programs, including Excel, Word, and Outlook
• Strong organizational skills and attention to detail
• Ability to work effectively in a fast-paced setting
• Excellent communication skills to interact with customers and team members
• Familiarity with scheduling tools and computer-aided dispatch systems
• Self-motivated and capable of learning quickly
• Prior experience in customer service or account management is highly desirable
