Warehouse Administrative Assistant – International

Job Responsibility

  • Oversees shipping, handling of materials and equipment documentation for international projects
  • Helps maintain files, invoices and supports the International Department staff and warehouses as needed
  • Assigns shipping control numbers (SCN) for materials sent to the central receiving point (CRP)
  • Monitors the purchasing card website and updates cost-code transactions for the international department and warehouse for final monthly reconciliation
  • Final PAs and subcontracts releases, verify POs, and MR, and reconciliation on daily invoices
  • Updating and issuing all Logistic Reports for Home Office and Jobsites review
  • Assists with verifying and maintaining inventory data for central receiving point (CRP)
  • Assists with maintaining and tracking all material and equipment slated for shipment to overseas projects
  • Assists with preparation of documentation for submittal to insurance company upon notification of damaged materials
  • Reviews pro-forma invoices and other reports and assists as needed
  • Assists with coordinating air freight deliveries to project sites
  • Serves as secondary point of contact for jobsites in instances where problems are encountered upon delivery
  • Support for Administrative Assistant duties as needed
  • Performs all other duties as may be assigned

Requirements

  • Minimum high school diploma/GED and minimum four years' experience in logistics operations required
  • Excellent computer skills, including Microsoft Office suite
  • Knowledge of international shipping required
  • Effective verbal and written communication skills
  • Must be a self-starter and demonstrate strong organizational skills
  • Current clearance, or the ability to obtain, a Department of Defense minimum secret security clearance required
