Job Description

We are recruiting a Visit & Facilities Coordinator to manage and deliver high?quality visit experiences on an industrial/R&D site. You will prepare, coordinate and accompany visitors, ensure room and site readiness, support daily facility operations, and contribute to internal communication and ambassador network activities.

Job Responsibility

  • Organise agendas, gather requirements, coordinate with internal teams
  • Book rooms, arrange lunches/breaks, manage PPE needs
  • Prepare spaces (screens, flipcharts, furniture) and logistics
  • Welcome visitors at the guard post and accompany them throughout
  • Deliver safety instructions and manage PPE
  • Support logistics (taxis, parking, bus coordination)
  • Take photos of the visit
  • Send satisfaction surveys and thank?you emails with photos
  • Restore rooms and equipment
  • Coordinate with service providers
  • Prepare internal VivaEngage suggestions
  • Ensure overall cleanliness and report facility improvements
  • Maintain showroom and A0 displays
  • Animate the ambassador community (incl. 2 yearly trainings)
  • Support communications during on?site events
  • Manage visit agendas, reporting, onboarding logistics, and internal platforms (Teams channels...)
  • Oversee coffee machine service, lecture hall equipment, and provide occasional backup for the work?study student

Requirements

  • Experience in event coordination, facility management, or office management
  • Strong organisation, autonomy, and stakeholder coordination
  • Excellent communication and service mindset
  • Comfortable with digital tools and safety/sustainability concepts
  • French (fluent)
  • English (intermediate)
