Job Description:

Our client is seeking a highly organized and proactive Virtual Sales Assistant to support a growing sales and client engagement team. This individual will serve as a key partner to leadership, helping manage client communications, coordinate appointments, prepare proposals, and ensure smooth day-to-day operations. The ideal candidate is someone who enjoys working with people, communicates with professionalism and warmth, and takes initiative to identify opportunities to improve processes and support the team.

Job Responsibility:

  • Prepare and send client proposals using an internal proposal tool (training provided)
  • Make outbound calls to prospective companies to introduce services and schedule appointments
  • Support new client onboarding and assist with coordinating client meetings
  • Schedule appointments and maintain calendars, with a goal of securing approximately six completed meetings per week
  • Conduct customer service outreach, including contacting clients to update payment information, confirm details, and schedule renewal or strategy conversations
  • Assist in creating and maintaining documents that outline vendor partnerships, advertising opportunities, and service offerings
  • Maintain organized records using Google Sheets and Google Docs to track agreements, offerings, and client information
  • Monitor communication channels and respond to inquiries in a timely and professional manner
  • Provide administrative and operational support to leadership and the sales team
  • Proactively identify additional tasks and opportunities to streamline processes and improve efficiency

Requirements:

  • Previous experience in administrative support, sales support, virtual assistance, or customer service
  • Strong communication skills with a professional and friendly phone presence
  • Experience making outbound calls and scheduling appointments
  • Excellent organization and attention to detail
  • Ability to manage multiple priorities and work independently in a remote environment
  • Proficiency with Google Workspace (Docs, Sheets, Calendar)
  • Comfortable learning new tools and systems
  • Strong customer service mindset with a positive, engaging communication style
