We are currently searching for a Vendor Performance Coordinator to work on the Ruwais LNG project and be based in Paris in a contract until December of 2026, with the possibility of extension. The resource will be responsible for management of Project Vendor Performance activities for assigned Purchase Orders, coordinating with Shop Expeditors and Inspectors to ensure supply conformity with contractual requirements during Purchase Order execution. This includes monitoring delivery schedules, manufacturing processes, and quality standards to ensure timely and compliant deliveries. The resource will collaborate closely with VPM Lead Coordinators, VPM Managers, and Deputies to support various Vendor Performance Management activities, ensuring continuous improvement and adherence to project timelines and quality benchmarks.
Job Responsibility:
Define the expediting and inspection levels according to the Criticality Analysis provided by the Project
Performs, coordinates and is accountable for all VPM activities including shop Expediting and inspection for the assigned Purchase Orders
Ensures that the supply complies with contractual requirements throughout the Purchase Order (PO) execution, including adherence to the execution plan, delivery schedule, and manufacturing quality standards
Ensure that all required documentation for VPM activities is available in a timely manner and has reached the appropriate maturity level to prevent any disruptions to PO execution
Maintain and update the IT-tools for VPM activities, ensuring and validating the progress of these updates
Analyzes information and comment documents provided by suppliers, monitors PO execution, and distributes them to the project team with key highlights, risks, and concerns identified at the VPM level
Ensure supplier production schedule is properly issued in due time and cover all Vendor activities (engineering with drawings submission dates, sub-orders and related workshop delivery, manufacturing and assembly, testing, and delivery activities)
Identifies and highlights any potential critical paths/events that might cause any shifting of delivery date, slippage or issues impacting deliveries or quality. Perform every necessary check to ascertain the severity of such risk (i.e checking with Delivery Manager & Construction ROS dates priorities) and coordinates the definition of any mitigation program and/or recovery plan, follow-up their implementation until their resolution in order to ensure the contractual requirement in terms of delivery date and manufacturing quality
Check VPM Project deliverables (Pre-Inspection Meeting report, Pre-Fabrication Meeting Report, Expediting Report, Inspection Report, Inspection Release Note), before proper distribution to Project team with key highlights, risks, and concerns identified at the VPM level
Ensure timely management of its Purchase Order execution steps to prevent any delay, anticipate on all VPM key activities, alert in case of potential risk on its PO which might lead to schedule or quality impacts, alert in case of delay or quality issues to VPM Manager and issue alert notice whenever applicable
May coach and train other VPM coordinators in a specific topic
Contributes to preparation of supplier and Inspection Agencies performance evaluations
Manage the interfaces with Project, Client and Supplier, as single point of accountability for the relevant Purchase Order, leading the review and resolution of any pending that can have an impact on the PO execution
Issue assignment requests/POs and Requisition for Shop Expeditors and Inspectors, in collaboration with Resource Management, ensuring strict compliance with project specifications and requirements, coordinate their activities and effectively communicate pertinent findings and results to the Project Team
Organize and attend meetings initiated by VPM Management for VPM execution, including Pre-Inspection and Hand-Over, led by Inspectors, ensuring prerequisites are met. Participate in other disciplines or Project meetings to support and facilitate VPM activities
Prepare required reports & KPIs for VPM activities to Project and monitor the man-hours budget assigned on the POs
Requirements:
Relevant (Mechanical/Electrical/Instrumentation/Engineering…) Bachelor's Degree as a minimum or Business/Management schools
Minimum 15 years of experience in Inspection, Quality, Engineering, Manufacturing, Supplier Development, Supplier Quality and/or Project Management
Have demonstrated leadership and project management skills in his specialty (PVHE, Package, Piping/Valves, E&I, Long Lead Items (LLI)…)
Experience with Material Management Systems (e.g. Smart Material - Intergraph)
Professional level of spoken and written English
Strong collaboration skills and the ability to work independently
Ability to meet deadlines and handle multiple priorities effectively
Problem solving skills related to functional area and understanding impact on overall business
Good presentation and communication skills at all organizational levels
