Job Description

User Operations Specialist role offers an exciting work opportunity and to be part of one of the leading infrastructure engineering software companies. The role involves working in the order to cash workflow, managing complex processes, contract setup, invoice adjustments, order processing end to end for a global region including verifying purchase order documents and managing contracts strictly in line with the company guidelines and policies. If you have effective communication skills, are well organised, ability to multitask and hold yourself accountable, then this is the role for you.

Job Responsibility

  • Overseeing daily operations to ensure activities align with established TAT and standards
  • Process Enterprise customer orders and adjustments as per the Bentley policies and guidelines
  • Coordinate with different stakeholders via email and phone to resolve any issues on the order processing procedures and ensure timely deliveries
  • Maintain accurate CRM contract records and update order tracking systems
  • Collecting and analysing operational data to respond to stakeholder’s queries or disputes and presenting findings to inform decision-making
  • Perform back-office functions to support sales teams reach revenue goals
  • Provide timely, professional and quality service to user base

Requirements

  • 2-3 years’ experience working in an order to cash (order fulfilment, contract administration) or shared services environment
  • Fluent English
  • Experience with Salesforce, productivity applications, and platforms an added advantage
  • Strong ability to analyze complex data sets and extract meaningful insights
  • High level of accuracy in managing processes, conducting audits, and preparing reports
  • Excellent verbal and written communication skills
  • Ability to identify issues quickly, think critically, and develop effective solutions
  • Superior ability to manage multiple tasks, prioritize workload, and meet deadlines
  • Flexibility to adapt to changing circumstances and evolving business needs

  • Coordinating the delivery of product, fulfilment documents and invoice to customer
  • Day to day handling order/contract fulfilment issues, like customer credit block, license issue (create or reassign the related to case to licensing support or related group, coordinate with licensing support group or related team figure out option etc)
  • Ensuring effective communication with Sales team, Channel Management team, Renewal team and the downstream functions, like Account Receivable (Collections) and TSG(Technical Support Group and licensing support group) to enhance the efficiency and quality of work
  • Support and implement the global process
  • Data clean-up in Salesforce regarding license issue, Business Partners, etc
  • Monitoring key business reports and provide value-added service to Sales team via regular reporting
