Job Description

We are looking for a skilled paralegal to support a practice focused on trust administration and related litigation in Palo Alto, California. This role is best suited for someone who can take ownership of case progress, maintain organized files, and keep key deadlines on track while working within established procedures. You will partner closely with attorneys and support staff to help matters move efficiently from opening through resolution.

Job Responsibility

  • Manage trust and estate matters from initial intake through final distribution, helping ensure each stage is completed accurately and on schedule
  • Draft and assemble administration documents such as notices, asset inventories, and other matter-related materials
  • Monitor court dates, filing requirements, and internal deadlines so that cases continue moving forward without delay
  • Support litigation matters by preparing discovery materials, organizing responses, and coordinating document production
  • Assist with filings, service coordination, and other procedural steps required for active civil or probate-related disputes
  • Maintain orderly electronic case files in Clio and keep records, correspondence, and supporting documents easy to access
  • Prepare exhibits, binders, and case materials for hearings, meetings, and other attorney needs
  • Communicate with clients to collect information, request records, and clarify outstanding items needed for case progress
  • Work with attorneys and administrative staff to follow firm processes, confirm next steps, and keep matters advancing efficiently

Requirements

  • 3 to 8+ years of paralegal experience in a law firm or similar legal environment
  • Background in trust administration, probate, civil litigation, or a combination of these practice areas is preferred
  • Demonstrated ability to manage multiple active matters while maintaining accuracy and strong attention to detail
  • Confidence working independently within a structured process-driven setting
  • Strong written and verbal communication skills for interacting with clients, attorneys, and internal staff
  • Experience tracking deadlines, organizing legal documents, and supporting filings and case logistics
  • Familiarity with Clio or comparable case management software is an advantage
