Job Description:

Scaled Composites is seeking a Travel Coordinator/Administrative Assistant to join our team of qualified, diverse individuals. Founded in 1982 by legendary aircraft designer Burt Rutan, Scaled Composites is an aerospace company continually working to push boundaries, prove out ideas, and influence the future. We are a rapid prototyping and manufacturing facility, designing, building, and testing proof-of-concept and prototype vehicles. We have flown an average of one new aircraft type per year over our 40-plus year history such as Proteus, GlobalFlyer, SpaceShipOne, Model 401, and Stratolaunch.

Job Responsibility:

  • Processes all employee-related travel requests
  • Processes all recruiting-related travel requests
  • Purchases/reserves all company transportation and accommodations
  • Contracts and coordinates with hotels, airlines, and vehicle rental agencies for lowest corporate rates/fares available
  • Stays informed of all travel related issues and alerts management of changes within the travel industry
  • Creates expense reports for travelers, collects and maintains appropriate receipts and verifies company travel invoices
  • coordinates with the accounting department for employee reimbursements
  • Monitors and ensures compliance with Scaled's Travel Policy and Procedures
  • May at times be asked to support staff in assigned project-based work
  • Schedule is flexible to accommodate work after hours and on weekends as necessary
  • Serves as backup to the admin team
  • Supports administrative and departmental projects and initiatives as directed presentations, etc.

Requirements:

  • Self-starter who is goal oriented
  • Ability to prioritize a high volume of tasking and operate in a 'fire and forget' atmosphere
  • Maintains a high degree of confidentiality
  • Ability to work independently in a dynamic environment
  • Ability to exercise good judgment with minimal oversight
  • Proactively completes assigned tasking, including on-the-fly problem solving and issues that require critical thought
  • Demonstrated capability organizing a complex schedule and varied priorities
  • Must be able to work well with a wide variety of personalities across all departments
  • Must be proficient in Microsoft Office programs (MS Word, MS Excel, MS PowerPoint and MS Outlook)
  • Prior experience in travel logistics preferred
