The Transportation & Commercial Account Specialist supports and coordinates vehicle transportation and commercial account administration by managing transportation logistics, vehicle lease and usage records, and related documentation. This role serves as a key operational contact for internal teams, vendors, drivers, and commercial customers to ensure vehicles are transported, tracked, and administered accurately, efficiently, and in compliance with company standards.
Job Responsibility:
Coordinate and schedule inbound and outbound vehicle transportation for commercial accounts
Communicate with drivers, transport vendors, and internal teams to ensure timely and accurate vehicle movement
Monitor transportation progress, proactively identifying and resolving delays or issues
Prepare, review, and maintain transportation documentation including bills of lading, delivery confirmations, and related records
Ensure transportation activity is accurately recorded in internal systems
Support assigned commercial accounts by administering vehicle-related records, agreements, and status updates
Maintain accurate documentation related to vehicle usage, assignments, and account activity
Track vehicle availability and status to support operational planning
Serve as a knowledgeable resource for transportation and vehicle administration questions related to commercial accounts
Act as a primary point of contact for transportation-related inquiries from commercial customers, vendors, and internal departments
Maintain professional, timely communication to support strong working relationships
Coordinate with accounting, operations, and customer service teams to resolve discrepancies or issues
Escalate complex or time-sensitive matters appropriately while assisting with resolution
Ensure all transportation and vehicle records comply with company policies and applicable regulations
Maintain a high level of accuracy and attention to detail in data entry, reporting, and documentation
Identify process gaps or recurring issues and recommend improvements to enhance efficiency and accuracy
Support departmental workflows through reporting, record maintenance, and audit preparation
Assist with cross-functional operational initiatives related to transportation and commercial services
Perform additional duties as assigned to support overall operational efficiency
Requirements:
High school diploma or equivalent required
additional education preferred
Previous experience in transportation, logistics, vehicle administration, or commercial account support preferred
Strong organizational and time-management skills with the ability to manage multiple priorities
Excellent attention to detail and accuracy
Proficiency in Microsoft Office (Excel), Google G Suite, and transportation or data management systems
Basic understanding of automotive maintenance & repairs
Strong written and verbal communication skills
