Job Description

The Transportation & Commercial Account Specialist supports and coordinates vehicle transportation and commercial account administration by managing transportation logistics, vehicle lease and usage records, and related documentation. This role serves as a key operational contact for internal teams, vendors, drivers, and commercial customers to ensure vehicles are transported, tracked, and administered accurately, efficiently, and in compliance with company standards.

Job Responsibility

  • Coordinate and schedule inbound and outbound vehicle transportation for commercial accounts
  • Communicate with drivers, transport vendors, and internal teams to ensure timely and accurate vehicle movement
  • Monitor transportation progress, proactively identifying and resolving delays or issues
  • Prepare, review, and maintain transportation documentation including bills of lading, delivery confirmations, and related records
  • Ensure transportation activity is accurately recorded in internal systems
  • Support assigned commercial accounts by administering vehicle-related records, agreements, and status updates
  • Maintain accurate documentation related to vehicle usage, assignments, and account activity
  • Track vehicle availability and status to support operational planning
  • Serve as a knowledgeable resource for transportation and vehicle administration questions related to commercial accounts
  • Act as a primary point of contact for transportation-related inquiries from commercial customers, vendors, and internal departments
  • Maintain professional, timely communication to support strong working relationships
  • Coordinate with accounting, operations, and customer service teams to resolve discrepancies or issues
  • Escalate complex or time-sensitive matters appropriately while assisting with resolution
  • Ensure all transportation and vehicle records comply with company policies and applicable regulations

  • Identify process gaps or recurring issues and recommend improvements to enhance efficiency and accuracy

Requirements

  • High school diploma or equivalent required
  • additional education preferred
  • Previous experience in transportation, logistics, vehicle administration, or commercial account support preferred
  • Strong organizational and time-management skills with the ability to manage multiple priorities
  • Excellent attention to detail and accuracy
  • Proficiency in Microsoft Office (Excel), Google G Suite, and transportation or data management systems
  • Basic understanding of automotive maintenance & repairs
  • Strong written and verbal communication skills

  • Inspects, accepts documentation (DD Form 1149/1348-1), prepares and processes all outbound/inbound cargo offered for transportation in the Defense Transportation System (DTS)
  • Checks for completeness and accuracy. Verifies the Nomenclatures, Quantity, Transportation Control Numbers (TCN), Transportation Account Code (TAC), Consignor and Consignee Codes, Hazardous/Classified materials, ITARS certifications and other essential transportation data
  • Properly classified freight, selects commodity codes, selects the most efficient mode of shipment and controls obligations for government transportation funds
  • Prepares all required shipping documents for data input to CMOS/GATES, assigns Transportation Control Numbers, produces labels, issues truck manifest for general/hazardous cargo and Maintains Manifest logs
  • Uses automated computer systems to process and document to accurately input the Transportation Control Numbers, Transportation Accounting Codes, consignor and consignee codes and other essential transportation data into CMOS, GATES or IBS
  • Inspects Hazardous Materials to ensure proper packaging, marking, labeling, documentation and certification in accordance with applicable Dangerous Goods Regulations (AFMAN 24-604, 49 Code of Federal Regulation, International Air Transport Association (IATA) and International Maritime Dangerous Goods (IMDG)
  • Inspects, accepts and inventories all incoming freight and containers for overages, shortages and damage before acceptance. When required, initiate and complete DD Form 361, Transportation Discrepancy Report (TDR)
  • Provides asset visibility and real-time view to track customer queries using IGC, RFID-ITV, GDSS2 or SMS
  • Prepares shipping documents and Movement Requests for international and domestic shipments between sites and container movements from the Sea Port of Embarkation (POE) to the Sea Port of Debarkation (POD) shipped by surface or sealift
  • Performs Port Handling and Inland Transportation (PHIT) and ensures the subcontractor performs all duties and responsibilities according to the Statement of Work (SOW). Inspects and documents each shipment for contract compliance on a Customer Service Survey form
