As a Transport Coordinator, you will support multiple industrial projects by ensuring seamless planning, execution, and monitoring of all transport and logistics operations. You will be the key interface between suppliers, freight forwarders, internal teams, and project stakeholders, ensuring compliance, accuracy, and timely delivery of project materials. This role requires strong coordination skills, technical expertise in transport/logistics, and the ability to manage documentation, suppliers, and end?to?end transport flows.
Job Responsibility:
Coordinate day-to-day transport activities across multiple projects
Act as the main interface with suppliers, logistics providers, and Purchase Order (PO) stakeholders
Monitor pick-ups and transport operations from start to finish
Collect and track preliminary documents (TR1001) including packing lists (PPL), Export Control Certificates, transport drawings, etc.
Record and update data in the material management system (e.g., Smat, EML assignments, document replacements)
Review shipping documentation from suppliers, freight forwarders, and third parties to ensure compliance with project processes
Prepare import documentation and manage customs forms (e.g., French export declarations)
Prepare and issue approval forms (e.g., air freight approvals)
Administer the transport service order (TSO)
Prepare RFQs for the transport engineering coordination (TEC) team
Issue transport instructions such as SRN (Shipping Release Note), RTF (Release to Forwarder), etc.
Review and validate forwarders’ pro forma invoices
Monitor the performance of contracted transport suppliers and freight forwarders
Ensure quality, accuracy, and completeness of all transport data and documentation
Update reports as required (claims, backcharges, damages, billing status, etc.)
Apply project procedures, Quality Assurance requirements, and discipline-specific guidelines
Requirements:
Minimum 5 years of experience in transport coordination, logistics, or freight forwarding within project-based environments
Strong understanding of transport practices, incoterms, liner terms, and international logistics processes
Proficiency with material management tools (e.g., Smat)
Experience in transport documentation and customs processes
Excellent command of English and French
