This role involves acting as a central point of contact for staffing needs, ensuring all personnel possess the required certifications, and assisting with travel logistics for timely mobilization and demobilization. The coordinator will work closely with onshore management and offshore teams to address personnel needs, resolve scheduling conflicts, and maintain strict compliance with contract requirements and industry standards.
Job Responsibility:
Acting as a central point of contact for staffing needs, ensuring all personnel possess the required certifications, and assisting with travel logistics for timely mobilization and demobilization
Working closely with onshore management and offshore teams to address personnel needs, resolve scheduling conflicts, and maintain strict compliance with contract requirements and industry standards
Manage and maintain accurate personnel records, including skill matrices, training logs, and qualifications, using internal databases
Monitor compliance with all relevant safety standards, regulations, and company policies
Address personnel queries and provide administrative support to crew members
Respond effectively to unexpected crew shortages, personnel issues, or emergency situations to minimize impact on project timelines
Proactively identify and resolve potential scheduling conflicts and logistical issues
Track and verify that all personnel possess valid and up-to-date certifications, such as offshore survival training (e.g., BST), medical clearances, and trade-specific qualifications
Optimizing the deployment and rotation of personnel to meet project demands and achieve maximum resource utilization
Acting as the central communication point for all personnel-related inquiries and updates, ensuring smooth information flow between onshore and offshore teams
Providing consistent and clear communication with personnel regarding their travel and work assignments
Requirements:
Diploma in Business Administration, Office Administration, Supply Chain and Logistics, Technology or an equivalent combination of education and work experience
Minimum 8-10 years of experience in a construction/resource coordination, logistics, or HR role within the offshore, marine or energy sectors is preferred
Exceptional organizational and time management skills, with a focus on attention to detail
Strong communication and interpersonal skills to engage effectively with personnel at all levels
Proficiency with relevant software including HR information systems, scheduling applications and MS Office Suite
Strong problem solving and critical thinking abilities
The ability to work under pressure in a fast paced, dynamic and time sensitive environment
Knowledge and understanding of offshore operations, trade disciplines, and training/competency frameworks
