This contractor will help bridge staffing needs and will step in at varying levels depending on show-by-show requirements. This role may involve anything from full end to end show ownership to shadowing/supporting existing staff and jumping in when needed. Expected workload is approximately 20 hours per week, with the possibility of domestic travel and potential extension based on workload and performance.

Job Responsibility:

  • Trade Show Execution & Support: Provide end to end ownership or part time support for assigned trade shows depending on need — from planning to execution to post show closeout
  • Manage or assist with logistics, booth design coordination, show services, shipping, and on site operations (as needed)

  • Vendor & Partner Coordination: Oversee relationships with vendors, including exhibit houses, show service providers, freight carriers, and show organizers
  • Secure quotes, manage timelines, and ensure high quality service delivery
  • Logistics & Operations: Ensure timely shipping, delivery, and return of show materials
  • Maintain accurate tracking across multiple shows and deadlines
  • Confirm all assets, collateral, and equipment are show ready

Requirements:

  • 5+ years of tradeshow experience
  • Ability to travel
  • Proven experience managing high volume trade show portfolios, ideally 10–20+ shows per month
  • Strong communication skills, with demonstrated success working cross functionally across marketing, sales, product teams, and external partners
  • Exceptional budget oversight experience, including forecasting, reconciliation, and cost optimization
  • Ability to operate independently, prioritize among competing deadlines, and seamlessly integrate into an established process

Nice to have:

Experience in the healthcare or medical technology space
