Job Description:

The main point of contact between the Landlord, tenants, tenant designers, and tenant contractors to facilitate the timely vacant possession of tenant spaces. To execute and coordinate the overall process of Tenant Coordination and Fit-Out according to Ikano Centres group policies, procedures, and risk assessment and ensure the opening timeline.

Job Responsibility:

  • Main point of contact between the Landlord, tenants, tenant designers, and tenant contractors to facilitate the timely vacant possession of tenant spaces
  • Execute and coordinate the overall process of Tenant Coordination and Fit-Out according to Ikano Centres group policies, procedures, and risk assessment and ensure the opening timeline
  • Support the overall Tenancy Coordination Process on all aspects of tenants’ fit out works (from receiving of update from leasing, design submission until renovation work at the site) while adhering to accomplishing within the stipulated challenging timeline
  • Coordinate and report the progress on-site every week and to conduct the periodic inspection before the store opens with facilities management and safety security
  • Coordinate, ensuring tenant deliveries and site access requirements, other related documents, and any relevant ad-hoc / admin task as and when required by the Management
  • Assist in planning, partaking, and organizing various projects, meetings, and presentations and responsible for sourcing of quotations, preparation of purchase orders, and invoice submission to Finance for ad-hoc works related to landlord provisions, amalgamation, or mall minor construction
  • Assist in providing test-fit and AutoCAD file for Change Request
  • Coordinate and assist in close liaison with SO Leasing and facilities management on the new tenant as well as the tenant’s Change Request
  • Conduct and accommodate any close ceiling inspection, pre-opening inspection request from the tenant’s contractor together with the Facilities Management and Safety Security team
  • Well verse with the local authority requirement in all laws governing the building management, architectural plans, and business licensing

Requirements:

  • Diploma/Degree in Architectural/Building, Mechanical & Civil Engineering, Project Management, or any other related discipline for valued engineering
  • Minimum 2-5 years of working experience in shopping centre fitout & tenancy delivery
  • Proficient with MS Office, AutoCAD software and Sketch-up
  • Shopping centre facilities management knowledge and ability to read technical drawings
  • Well-versed with the local authority statutory compliance and UBBL, which related to building fit out

  • Acts as first contact support for the shopping Centre to achieve prompt response on tenants’ enquiries, feedback & complaints, and escalate it to other related departments for resolution
  • Establish and maintain comprehensive and updated Tenants’ database and filing system for all tenants (ie. Sales information, licences, insurances, agreement and other correspondences)
  • Responsible for the collection and system update of Tenant monthly sales report (average submission rate: 95%) and yearly audited sales report
  • Monitor the tenant sales to ensure achieving the budgeted forecast sales
  • Perform tenant sales performance analysis & report and to provide valuable insights to the Centre Management Team and Service Office
  • Transform the analysis (sales data) into marketing strategy and to improve the business
  • Collaborate with other departments for improvement of tenant sales as and when necessary
  • Draft memo, circular and approval letter related to tenants for the department
  • Support Operations in the event tenant is not adhering to mall’s House Rules, Agreement and other required manuals in the way of recommending approach towards tenants
