Supervise the Telephone/PBX department at the Four Seasons Resort Peninsula Papagayo, Costa Rica, ensuring maximum service to guests and callers, training personnel, maintaining equipment and records, and coordinating with other departments.
Job Responsibility:
Execute the tasks of a Telephone/PBX Operator
Train operators and other personnel on switchboard operation, courtesy, hotel services, key personnel, wake-up calls, emergency procedures, message procedures, paging procedures, etc
Schedule operators to provide maximum service to guests and callers in accordance with budgeted guidelines
Supervise the performance of operators on an ongoing basis
Keep operators well-informed of all changes in hotel policy, services, personnel, special activities, etc
Prepare and update the telephone extension directory and a Department Head home telephone list
Report all telephone problems and maintain log for follow-up on all problems
Maintain the house phones and directories
Handle telephone change orders and reconciles all invoices for servicing of telephone system and equipment
Coordinate all special telephone requirements for guests in meeting rooms or guest rooms
Review telephone bills, resolve discrepancies, monitors call accounting system and interface with computer system to maximize revenues
Maintain records of existing equipment, changes, additions, deletions, etc
Maintain accurate records and a log of emergency calls, fire, police, elevators, etc
Maintain good working relationships with all departments, maintain a high morale and excellence in the department through leadership and a fair and consistent display of discipline
Respond properly in any hotel emergency or safety situation
Perform other tasks or projects as assigned by hotel management and staff
Maintain the upkeep of existing phone equipment
Order supplies and equipment for department
Requirements:
Reading, writing and oral proficiency in Spanish and English
Prior experience in the position of Telephone/PBX Operator preferred
Previous hotel experience or college degree preferred
Previous leadership experience preferred
Excellent verbal and written communications skills
