Job Description

To supervise 1 on-site technician while ensuring seamless facility operations across the single floor office and maintaining regular coordination and reporting with the client’s Engineering team based in Hong Kong. This role serves as the operational leader responsible for task prioritization, quality control, vendor coordination, and escalation management—delivering exceptional occupant experiences while maintaining operational continuity and rigorous safety standards in a fast-paced professional environment.

Job Responsibility

  • Supervise and coordinate on-site technician and third party vendors to efficiently complete daily facility operations
  • Execute task prioritization, resource allocation, and timeline management
  • Ensure quality control and work verification across all maintenance activities
  • Provide immediate escalation of complex issues requiring specialized expertise or additional resources
  • Respond promptly to reactive maintenance requests including furniture repairs, equipment malfunctions, and urgent facility issues
  • Orchestrate third-party subcontractor coordination for break-fix maintenance, specialty tasks, and complex repairs
  • Coordinate furniture and equipment adjustments including desk repairs, pedestal relocations, chair repairs, and workstation reconfigurations
  • Manage meeting room setup and breakdown services including furniture arrangement, technology equipment setup, event support coordination, and room restoration
  • Record and document all reactive maintenance activities, tracking root causes, response times, and resolution outcomes
  • Analyse maintenance trends and patterns to identify recurring issues, opportunities to reduce downtime, and gaps in on-site material/spare parts readiness
  • Review reactive maintenance data to identify missed or inadequate preventive maintenance scope, and recommend PPM improvements based on lessons learned
  • Maintain comprehensive documentation of all facility activities with detailed work order coordination
  • Document photographic evidence of before and after conditions and material usage tracking
  • Generate trend analysis reports identifying recurring issues, resource planning requirements, and continuous improvement recommendations
  • Execute comprehensive reporting including weekly summary reports highlighting key findings, trends, and facility improvement recommendations
  • Maintain and regularly update asset lists including spare parts list, MEP equipment list, and tool inventory
  • Conduct and document daily facility patrols, identifying issues and reporting repair plans to client with recommended priorities and timelines
  • Establish and maintain clear communication channels for routine reporting and emergency escalation
  • Serve as on site liaison between occupants, building management, and service providers
  • Execute immediate notification protocols for critical issues affecting safety, security, or business operations
  • Coordinate with building management for access control requirements, elevator usage for material transport, after-hours work scheduling, and compliance with building policies
  • Ensure 100% completion of daily inspection requirements with standardized procedures across all office areas and space types
  • Implement service quality standards maintaining professional interactions, minimal business disruption, and adherence to safety protocols
  • Support facilities management with trend analysis, identification of recurring issues requiring preventive measures, and budget forecasting

Requirements

  • Minimum 3-5 years experience in commercial facility management with team supervision responsibilities
  • General understanding of Building Services systems including HVAC, electrical, plumbing, and mechanical systems with troubleshooting experience
  • Familiarity with Building Management Systems (BMS) or facility monitoring platforms is preferred
  • Experience managing technology-focused work environments or trading firms strongly preferred
  • Proven track record supporting high-performance professional environments with emphasis on employee comfort and operational efficiency
  • Experience with critical infrastructure rooms or mission-critical facility operations
  • Demonstrated success managing vendor ecosystems and service delivery in demanding, detail-oriented professional settings
  • Strong leadership capabilities with experience in task prioritization, resource allocation, and quality control verification
  • Technology systems familiarity and documentation capabilities for comprehensive reporting and record keeping
  • Experience supporting innovative workplace environments that balance productivity with employee wellbeing
