We're looking for a confident and capable Operations Administrator to support both the Technical and Commercial teams. Job Responsibility:

  • Raise purchase orders and process invoices/fees
  • Maintain and update drawing registers
  • Manage third-party platforms (e.g. Premier Guarantee)
  • Track and obtain certifications
  • Support procurement and fee payments
  • Attend meetings, take minutes, and update action logs
  • Handle technical documentation and respond to internal queries
  • Administer tender processes and subcontractor information
  • Track insurances and maintain accreditation records
  • Manage timesheets, expenses, and payment trackers
  • Support invoice and payment application processes
  • Prepare client extras summaries and manage document filing

Requirements:

  • Experience in construction or property administration
  • COINS experience is highly desirable
  • Familiarity with Bluebeam is a bonus
  • Strong organisational skills and attention to detail
  • Calm under pressure and confident juggling multiple tasks
  • Great communication skills and solid Microsoft 365 knowledge

  • Accurately enter data into property software (Yardi) including: leases, renewals, sublets, options, assignments, amendments, terminations, settlement agreements, parking agreements, storage agreements, expirations, etc.
  • Monitor the flow and status of negotiations including parameters such as conditions, obligations, possessions, offer/lease stage, and contract execution dates
  • Track and maintain all lease expirations option exercise dates and other critical information assigned in commercial leases
  • Ensure the documentation and procedures required for tenant move-ins or move-outs are carried out, including inspection reports and security deposit
  • Prepare reports detailing lease portfolio performance, including occupancy rates and vacancies
  • Assist in ensuring documentation is in sync with landlord’s property software (Yardi)
  • Ensure area certificates completed as required
  • Communicate all leasing documents and other critical information assigned in commercial leases, to all relevant departments in the organization
  • Ensure each lease file contains a signed original lease, lease checklist, and ensure other details are correct and complete
  • Ensure all required items including lease documents, insurance, deposits, contact information, and other critical information are delivered by tenants on new lease transactions prior to occupancy
