Job Description

This role offers an exceptional opportunity to provide high-level executive support and office management within a fast-paced, prestigious advisory firm. You will play a pivotal role in ensuring operational excellence for our senior leadership and local team.

Job Responsibility

  • Organising schedules and managing complex diaries for senior team members
  • Managing travel arrangements, including accommodation, visas, and immigration matters
  • Providing administrative support for key document preparation
  • Assisting leadership with monthly expense reconciliation, timesheet compilation, and ad-hoc personal support
  • Acting as the first point of contact at reception
  • Overseeing office supplies, facilities maintenance, and vendor relationships (IT, Finance, and building management)
  • Coordinating logistics for client events, including catering sourcing and event set-up
  • Supporting finance workflows such as vendor registration, contract signing (chopping), and invoicing formalities

Requirements

  • Minimum 1-2 years of administrative or assistant experience is preferred
  • Good working proficiency in English, Cantonese, and Mandarin
  • Strong proficiency in Microsoft Office Suite (Teams, Word, Excel, PowerPoint)
  • Proven ability to work autonomously with minimal guidance and a high degree of responsibility
  • Excellent attention to detail and a solutions-orientated mindset
  • Ability to handle sensitive and confidential information with absolute integrity
  • A client-service mentality
