Job Description

An Administrative Associate is responsible to Partners, Directors, and Office Administrators. An Administrative Associate is charged with providing clerical support by using administrative systems, procedures, and policies, and monitoring and completing various administrative projects.

  • Manages multi-line telephone
  • Operates office equipment
  • Coordinates meeting and conference call arrangements
  • Provides reception and office services relief
  • Aids in maintaining the professional appearance of conference rooms and common areas
  • Processes, e-files, and sends tax returns to clients
  • Prepares invoices, reports, memos, letters, financial statements, and other documents
  • Prepares checker’s checklist during proofing of financial statements
  • Receives and sends correspondence
  • Assists with expense report submissions
  • Interacts with clients
  • Orders office and kitchen supplies
  • Enters new client setup information into time and billing system
  • Prepares daily cash receipt deposits
  • Works sufficient hours in order to complete projects assigned
  • Knowledge of Accounts Payable (AP), Accounts Receivable (AR), QuickBooks, Data Entry, Invoice Processing

  • Prepare the monthly reconciliation of indirect tax accounts and ensure proper documentation is maintained to support tax filings and audits
  • Identify and implement process improvements and automation solutions for data collection, indirect tax calculations and indirect tax reporting
