We are looking for an experienced Administrative Assistant to support a busy tax team in Englewood, Colorado. This Long-term Contract position will serve as a key point of contact for clients while coordinating day-to-day administrative activities that keep tax engagements moving forward. The ideal candidate brings strong organizational skills, sound judgment, and a service-focused approach to handling inquiries, documentation, and office support in a detail-oriented environment.
Job Responsibility
Welcome visitors and create a positive first impression by managing front-desk interactions for clients arriving at the office
Respond to incoming calls and messages, identify the purpose of each inquiry, and route matters to the appropriate member of the tax team
Coordinate with clients to collect outstanding tax documents and help them submit information through secure online portals
Provide timely updates to clients regarding document status, return progress, and routine engagement-related questions
Support the tax department with administrative tasks such as scanning, filing, faxing, data entry, and maintaining organized records
Use platforms such as Karbon and Ignition to assist with workflow tracking, engagement administration, and client follow-up activities
Monitor extension-related activity by tracking signatures, missing items, and the current stage of each request during peak periods
Offer basic first-level assistance for non-technical client questions and escalate complex tax or planning matters to team members with relevant experience
Requirements
Prior experience in administrative support, reception, client service, or office coordination within a detail-focused setting
Proficiency with QuickBooks Online is required
Strong verbal and written communication skills with the ability to interact effectively with a wide range of clients
Demonstrated ability to stay organized, manage multiple priorities, and follow through on tasks with minimal supervision
Comfort learning new systems, terminology, and processes quickly in a fast-paced environment
High level of discretion and sound judgment when handling sensitive financial and personal information
Working knowledge of tax office, accounting firm, or similar service-based operations is preferred
Ability to troubleshoot basic office equipment issues, including printers and scanners, as needed
