As a TA Operations Specialist, you’ll own the systems, processes, and workflows that keep our hiring engine running smoothly. You’ll work closely with TA, HR teams, and business leaders to ensure every candidate has a seamless experience and every hiring manager receives the support they need. You’ll manage our ATS, ensure GDPR compliance, build reports, and introduce process improvements and automations that make our hiring engine run smoothly. Job Responsibility:
Manage and improve the hiring process using Lever or another ATS
Maintain structured workflows, templates, pipelines, and automation rules
Identify inefficiencies and implement optimizations across the recruitment cycle
Coordinate daily recruitment operations: scheduling, candidate communication, status management
Support pre-employment screenings, documentation, and offer processes
Ensure a smooth and professional experience for all applicants
Conduct regular audits to ensure GDPR compliance and alignment with employment policies
Maintain accurate, compliant candidate records and processes
Run reports and dashboards on hiring performance, pipeline health, and recruiting budget
Work closely with TAs, HR partners, and business leaders to ensure seamless execution of hiring plans
Support process rollout, updates, and training for hiring managers
Implement and manage AI-powered recruitment tools to improve workflow efficiency
Evaluate new technologies for scheduling, sourcing, screening, or data tracking
Support employer branding activities: content creation, social media updates, events, and campaigns
Participate in interviews for junior-level roles, supporting the overall hiring pipeline
Requirements:
2–4 years of experience in recruitment coordination, TA operations, HR operations, or similar
Hands-on experience with ATS systems — Lever and Greenhouse experience is a strong plus
Strong understanding of GDPR and recruitment compliance requirements
Excellent organizational skills and attention to detail
Strong communication skills and a candidate-first mindset
Tech-savvy, with a passion for improving processes and using AI/automation
Collaborative and proactive — someone who anticipates needs and solves problems before they escalate
Fluent in English with excellent communication and collaboration skills
