Job Responsibility:
Manage end-to-end interview scheduling across multiple time zones and stakeholders, ensuring a professional and high-touch experience
Proactively resolve scheduling conflicts and last-minute changes, acting as the primary point of contact for candidates regarding coordination
Track progress within the ATS, ensuring all records are up-to-date and following up with interviewers to collect high-quality feedback in line with hiring SLAs
Prepare and issue employment contracts and offer letters, ensuring all documentation aligns with local policies and compliance requirements
Update and maintain candidate and new hire data within internal systems (e.g., Workday) with "zero-error" precision
Act as the bridge between recruitment and HR, coordinating with various teams to ensure everything is ready for a successful first day
Regularly engage with TA Managers and People Business Partners to discuss hiring plans and identify ways to optimize the recruitment pipeline
Share insights and best practices to evolve hiring processes, contributing to a cohesive and efficient global People function
Actively contribute to a positive, social team environment, participating in regular meetings and building strong cross-functional relationships
Requirements:
BSc/MSc degree (Economics, Finance, or equivalent)
1–3 years of proven experience in a Recruitment Operations or HR Coordination role, specifically managing complex interview schedules
Hands-on experience with ATS and HRIS platforms (e.g., Greenhouse, Workday) and proficiency in MS Office
Business language fluency in English with the ability to handle sensitive information with professional discretion
Proactive, detail-oriented, and possessing the interpersonal skills to act as a bridge between candidates and managers in a fast-paced environment
