W.R. Grace is looking for a proactive and detail-oriented Talent Acquisition Coordinator to join their Talent Acquisition team. The ideal candidate will excel at coordinating complex interview logistics across time zones, managing candidate communications, and ensuring compliance with company standards. This role requires strong organizational skills, the ability to handle multiple priorities, and a commitment to delivering a seamless and positive experience for candidates and hiring teams. The successful candidate will also contribute to employer branding, recruitment reporting, and process improvement initiatives, while supporting the full spectrum of administrative and onboarding activities. This position will be Manila-based, and the selected candidate will be expected to work U.S. hours, 8:00am – 5:00pm EST.
Job Responsibility:
Coordinate and schedule interviews across multiple time zones, liaising with hiring managers and candidates to ensure timely and efficient processes
Initiate and manage interview scorecards and feedback collection
Manage job postings on various platforms, ensuring compliance with company standards
Support employer branding initiatives through social media, recruitment events, and other channels
Partner with recruiters to facilitate candidate travel arrangements, background verification, drug screening, and onboarding logistics
Assist in conducting recruitment compliance audits
Prepare and analyze recruitment reports (weekly, monthly, quarterly) and build dashboards for performance tracking
Manage the Talent Acquisition team mailbox and respond to queries promptly
Oversee administrative tasks and participate in special projects as assigned
Review and recommend process improvements for recruitment and onboarding
Coordinate with new hires during onboarding to ensure they are fully prepared for their first day
Manage purchase card and team expense transactions, reimbursement forms for travel, optimizing the reimbursement process in line with company and local requirements
Requirements:
Bachelor’s degree and at least 3-5 years of progressive experience in recruitment coordination or 5+ years of relevant HR experience, preferably in a multinational or shared services environment
Demonstrated experience with Applicant Tracking Systems (ATS), preferably SAP SuccessFactors
Proficiency in Microsoft Office Suite and familiarity with CRM tools
Strong organizational and time management skills, with the ability to manage multiple priorities and deadlines
Excellent verbal and written communication skills in English
High attention to detail and accuracy
Ability to interpret and implement HR policies and procedures
Strong problem-solving and critical thinking abilities
Team-oriented mindset with a positive, proactive attitude
Nice to have:
Experience supporting recruitment for U.S.-based or global teams
Hands-on experience with SAP SuccessFactors Recruiting module
Exposure to AI tools and digital recruitment solutions
Experience in employer branding and recruitment marketing
