We’re looking for a polished, detail-oriented Talent Acquisition Coordinator II to support onsite recruiting operations and deliver a high-touch candidate experience. This role is ideal for someone who thrives in a fast-paced environment, enjoys working with people, and takes pride in keeping recruiting processes running smoothly.

Job Responsibility:

  • Greet, escort, and host candidates during onsite interviews
  • Provide high-touch, in-person customer service to candidates, employees, and hiring teams
  • Coordinate and manage candidate interview scheduling
  • Arrange interview logistics including lunch, refreshments, travel coordination, and IT setup for virtual interviews
  • Verify job and candidate details in the applicant tracking system (SmartRecruiters)
  • Create offer letters and obtain required approvals through the ATS
  • Initiate pre-hire onboarding and assist with new hire orientation as needed
  • Enter, audit, and maintain accurate data in automated HR systems
  • Verify completeness and accuracy of employment and onboarding documents
  • Maintain employee and candidate files in compliance with company policies
  • Provide information and support to candidates and employees regarding HR processes
  • Assist with complex administrative processes and special projects
  • Process expense reports and prepare reports for management as requested
  • Participate on project teams and contribute creative solutions to operational challenges

Requirements:

  • Strong understanding of administrative operations within HR, Staffing, or Talent Acquisition
  • Minimum 3 years of experience in one or more of the following: Administration, Human Resources, Talent Acquisition, Customer Service
  • Experience using an Applicant Tracking System (ATS) required
  • Experience with SmartRecruiters is a plus
  • Highly detail-oriented with strong organizational and multitasking skills
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook calendaring
  • Comfortable navigating intranet and internet-based tools
  • Ability to read, analyze, and interpret company policies and procedures
  • Strong interpersonal skills with the ability to maintain confidentiality and conduct business ethically
  • Ability to work effectively in a fast-paced, high-volume environment
  • Awareness of employment laws and regulations related to hiring and HR practices
