The Scheduling Coordinator is responsible for scheduling pediatric, adult, and geriatric patients for the surgery center and assists with insurance verification when needed. The Scheduling Coordinator must display excellent telephone etiquette as he/she manages calls of utmost importance to providing quality and continuity of individual patient care.
Job Responsibility:
Schedules all surgical procedures
Obtains and enters all necessary information from surgeon or scheduler requesting OR time
Aware of instruments and equipment limitations of the department
Communicates with Clinical Director/Administrator regarding managing block time
Allows adequate time for each procedure according to physician request
Allows adequate time for room turnover
Attempts to schedule similar types of cases in the same room to increase efficiency
Communicates special equipment, instrument, supply, and staffing requests to the Clinical Director
Proofreads and edits all surgery schedules before distributing
Contact surgeon’s offices two days prior to schedule to confirm surgical times and procedures
Refers conflicts and procedural questions to the Clinical Director
Keep all department managers informed of changes affecting current schedule
Assists with completing forms for add-on procedures
Prepares and distributes a “week at a glance” to assist with departmental staffing
Attempts to minimize down time of rooms between cases
Prepares final version of schedule for the following day
May be asked to visit surgeon offices for marketing purposes
Consistently punctual and shows a responsible and dependable pattern of attendance
Participates and supports BDP/QI programs and activities
Assists other employees when time allows
Cross-train in front desk areas, to include multi-phone lines, insurance verification, and patient check-in
Requirements:
High school graduate or equivalent
1+ years of experience
Excellent communication skills
Excellent planning and organizational skills
Ability to work under pressure
Thorough knowledge of medical terminology
Ability to handle and prioritize multiple tasks
Having the ability to foresee problems
Alertness and adaptability to change in situation
Holds all patient information confidential
