This Contract to permanent position involves assisting with the management and maintenance of a fleet comprising over 1,700 vehicles. The ideal candidate will work closely with the Fleet Administrator and Fleet Manager, gaining an understanding of branch operations, fleet structure, and key processes to ensure efficient fleet operations.
Job Responsibility:
Assist the Fleet Administrator with tasks related to managing and maintaining fleet databases
Respond to inquiries and requests from branch locations regarding fleet-related matters
Support vehicle registration processes and ensure compliance with necessary regulations
Manage fuel card assignments and resolve any issues related to usage
Maintain and update fleet documentation to ensure accurate record-keeping
Collaborate with internal teams to address operational challenges and streamline fleet activities
Monitor fleet activities and contribute to the improvement of daily, monthly, and annual processes
Provide administrative support, including data entry and handling incoming calls
Help coordinate fleet-related activities between branches and the central office
Ensure the smooth operation of fleet services by proactively identifying and resolving issues
Requirements:
Proven experience in administrative support roles, preferably within fleet management or a related area
Strong ability to handle data entry tasks with attention to detail and accuracy
Excellent communication skills, including answering inbound calls professionally
Familiarity with fleet vehicles and their operations is highly desirable
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
Proficient in using office software and tools for administrative purposes
Knowledge of vehicle registration processes and fuel card management
Nice to have:
Previous experience working in a receptionist or similar administrative role is a plus
