Requirements

1–2 years' experience in Order Management or Customer Service, ideally in a supply chain or logistics context
Bilingual proficiency in either German, Italian, Spanish, or French is highly desirable
Strong attention to detail and follow-through
Ability to thrive in a fast-paced, problem-solving environment
Intermediate Excel skills (pivot tables, lookups, basic reporting)
Knowledge of ERP systems (SAP preferred)

Job Responsibility

Manage and process orders for key customers, ensuring accuracy and timely execution
Produce and maintain open order books, sharing updates with customers and internal sales teams
Communicate SKU challenges, availability, and back-in-stock dates to customers
Monitor warehouse and transport activities, escalating and resolving issues proactively
Coordinate customer delivery bookings with 3PL warehouse and logistics teams
Keep customers informed about delivery challenges and revised timelines, offering solutions
Update and present Sales Performance Reports, including expected monthly revenue, in bi-weekly meetings
Create and maintain Customer SOPs for warehouse execution
Develop and manage Retailer SLA / Non-Compliance documentation, perform root cause analysis on failures, and propose corrective actions
Attend and contribute to customer review meetings, understanding SLA terms and performance metric

2–3 years’ experience in customer service, order management, or export coordination
Strong working knowledge of Excel (lookups, pivot tables, data validation, etc.)
Comfortable using or learning ERP systems (SAP preferred)
Experience working with or supporting export processes, documentation, and customer compliance
Strong organisational and communication skills
Ability to manage multiple priorities and deadlines in a fast-moving environment

Job Responsibility

Manage the end-to-end processing of Ex Works customer orders, ensuring accuracy and timeliness
Prepare and validate export documentation (invoices, packing lists, CoOs, etc.) in line with customer and customs requirements
Maintain and distribute open order books, providing regular updates to internal stakeholders and customers
Work closely with Supply Planning to confirm stock allocation for export orders
Communicate back-in-stock dates and order status for delayed SKUs
Monitor progress of warehouse dispatches and customer collections, escalating delays where needed
Coordinate with 3PL warehouses and freight forwarders to schedule and track customer collections
Update expected revenue forecasts in Sales Performance Reports
Identify and document SLA failures or export issues, assist in root cause tracking, and escalate recurring challenges
Ensure compliance with current export legislation and customer requirements
