Job Description

As a Summer Administrative Assistant, you'll support day-to-day operations and gain hands-on knowledge in an administrative setting.

Job Responsibility

  • Performing general office tasks, including filing, scanning, and data entry
  • Creating and maintaining organizational systems for important documents and workflows
  • Assisting with scheduling meetings, managing calendars, and coordinating events as needed
  • Greeting visitors and providing professional customer service as the first point of contact at the front desk
  • Proofreading and formatting documents for internal and external distribution
  • Collaborating with team members on special projects and providing logistical and administrative support for department initiatives

Requirements

  • Currently enrolled in (or recently graduated from) a post-secondary program
  • Strong organizational skills and attention to detail with the ability to meet deadlines
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office applications, especially Word, Excel, and Outlook
  • A positive and professional attitude with a willingness to learn
  • Ability to handle multiple tasks and prioritize assignments in a fast-paced environment
  • Team-player mindset and adaptability to shifting priorities

  • Track invoices, compare billing details with district records, and communicate discrepancies to the appropriate internal teams
  • Respond to questions from families, students, staff, and vendors regarding meal services, balances, eligibility, and program procedures
  • Assist with procurement-related clerical work, contract documentation, renewals, and audit preparation while supporting communication across school sites and district leadership
  • Travel to school locations throughout the district to monitor meal service activities, gather required forms, and support after-school or summer meal programs as scheduled
  • Participate in department and state-sponsored trainings or seminars and complete other assigned tasks that contribute to effective food service administration
