Honestly, it’s hard not to love this culture! Cryptic Vector is seeking a detail-oriented Subcontract Administrator to manage the full subcontract lifecycle in support of our defense programs. You will handle acquisition, drafting, negotiation, award, execution, and closeout of subcontracts, flowing down prime contract requirements to industry partners with precision and compliance. We need an organized, proactive team player with proven expertise in subcontract administration. Job Responsibility:

  • Draft, review, and negotiate terms for subcontracts, purchase orders, non-disclosure agreements, and teaming agreements—including developing specifications, statements of work (SOWs), and other contractual documents—while leading negotiations with clients and suppliers to secure mutually beneficial outcomes
  • Identify and manage subcontract-related risks, implementing strategies to mitigate potential issues
  • Ensure all subcontracts align with relevant laws, government regulations (e.g., FAR, DFARS), and industry standards
  • Conduct risk assessments and implement mitigation strategies
  • Prepare and issue RFPs/RFQs, evaluate subcontractor proposals for compliance, conduct price/cost analysis to ensure reasonableness, and maintain accurate, organized contract records including proposals, amendments, and correspondence
  • Analyze and review contract terms, conditions, and requirements, ensuring alignment with company values and goals
  • Monitor subcontractor performance, cost, and schedule to ensure adherence to contractual obligations and project timelines
  • This also involves managing change orders, additions, or deletions to subcontracts
  • Maintain accurate and organized files and documentation for all subcontract activities, including correspondence, modifications, and closeout procedures
  • Act as the primary liaison between internal PM’s, Contracts Manager, and external subcontractors/vendors to resolve issues, disputes, and facilitate effective communication
  • Provide back-up support for Contracts Manager

Requirements:

  • Bachelor’s degree in Business, Supply Chain Management or related field
  • Minimum of 5-10 years of relevant experience in subcontract administration, procurement, or a related field
  • Active U.S. security clearance up to Top Secret (TS), with ability to maintain clearance eligibility
  • Must be located in EST time zone
  • Thorough understanding of contract law and procurement processes
  • In-depth understanding of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations (DFAR), as well as other relevant government procurement regulations
  • Strong organization skills and attention to detail
  • Excellent negotiation, analytical, and problem-solving skills
  • Ability to manage multiple tasks, priorities, and deadlines simultaneously in a fast-paced environment
  • Proficiency with MS Office Suite
