Job Description:

At Black Swans Exist, we are building a future-proof recruitment company with a strong focus on quality, systems, and intelligent use of technology. We have been recognized by both industry organizations and our CRM supplier as frontrunners in using systems and automation to enable our consultants to spend more time helping partners and candidates — and we want to strengthen that lead even further. We believe great recruitment is still a human business. But the best firms will increasingly win by combining strong human judgment with strong systems, smart automations, and practical AI. We are looking for a Student Operator who wants to help us build the operational engine behind that vision. This is not a traditional student role. You will work closely with the founder and help improve the systems, workflows, and automations that make the business more productive, more scalable, and better run.

Job Responsibility:

  • mapping and improving internal processes
  • documenting how work should be done in a clear and scalable way
  • identifying repetitive tasks that can be automated
  • building automations and workflows across our tools
  • creating more advanced workflow chains that remove repetitive work and improve productivity
  • supporting stronger use of AI in research, workflow execution, knowledge capture, and internal operations
  • improving data quality, structure, and consistency across systems
  • helping create reporting and operational visibility where needed
  • working closely with the founder on projects related to systems, productivity, and operating discipline

Requirements:

  • ambitious and curious
  • structured and detail-oriented
  • enjoy improving the way work gets done
  • curious about AI, automations, and modern tools
  • like solving practical business problems
  • comfortable working independently
  • not afraid of messy workflows and unfinished systems
  • strong written and verbal English skills

Nice to have:

  • no-code or low-code tools
  • workflow design or process improvement
  • AI tools in a professional setting
  • CRM, ATS, or other operational systems
  • spreadsheets, dashboards, or reporting
  • prompt design, documentation, or internal knowledge systems
What we offer:
  • close collaboration with the founder
  • a chance to help build a modern company from the inside
  • real responsibility and meaningful projects
  • hands-on experience with systems, operations, AI, and workflow design
  • a role with room to grow based on capability and initiative
