About the job To secure timely posting of the schedules that deliver to the needs of the store while continuously seeking and coordinating business opportunities through optimised staff planning focussed on our co-worker, customer and business. Your assignment Aware of the people strategy and ensuring the regional and local principles/ guidelines are reflected in our co-workers’ schedules by providing expertise, support and training of end-users in scheduling Support the Staff Planning Manager in administrative elements associated with schedule creation and management Secure compliance with IKEA employment standards, legal requirements, labour rules, and internal requirement within the unit Partner with department managers to develop, adapt and continuously improve quality schedules aligned with forecasted hours, co-worker availability and skill levels. Contribute to the full staff planning process, from forecasting (including commercial drivers) through to execution and publication of schedules Ensure schedules accurately reflect planned absences and collaborate with managers to balance co-workers, customer and business needs. Drive process optimization initiatives by identifying inefficiencies and working cross-functionally with stakeholders to design and implement improved ways of working that enhance staffing effectiveness and operational performance. Partner with stakeholders to build leaders’ awareness and knowledge of the staff planning process and their role in it through education, training and support.

Requirements

  • Proven staff scheduling experience with strong sense of ownership
  • Experience working in a customer-focused service industry, preferably retail
  • Experience with and knowledge of scheduling software used in the store
  • Strong understanding of performance metrics and staffing optimization to drive decisions and continuously improve workforce efficiency
  • Ability to translate business needs into efficient, actionable schedules aligned with forecast and operational priorities
  • Ability to work independently, prioritise effectively and deliver within tight deadlines
  • High attention to detail with a structured and disciplined way of working
  • Demonstrated ability to coordinate people and tasks
  • Comfortable handling conflict, negotiation and stakeholder pressure in a professional manner
  • Open to change, with confidence and self-awareness to adapt and continuously improve
