Job Description

We are looking for a detail-oriented Staff Accountant to join our team in Maryland Heights, Missouri on a Contract basis. This position supports day-to-day accounting operations across payables, receivables, reconciliations, and month-end activities while helping maintain accurate financial records. The ideal candidate brings strong Excel skills, sound knowledge of general ledger processes, and the ability to work effectively in a fully onsite environment.

Job Responsibility

  • Manage accounts payable activities by reviewing vendor invoices, preparing weekly payment batches, and coordinating ACH disbursements
  • Support accounts receivable functions by generating customer invoices and collaborating with accounting support staff to keep billing records current
  • Maintain accurate financial data through timely entry of transactions, employee reimbursement processing, and recording vendor credits
  • Investigate purchasing and billing variances, then partner with operations leadership to adjust or reassign costs when appropriate
  • Update monthly benefit-related accounting information, including health insurance entries and other recurring expense items
  • Prepare and maintain amortization, prepayment, and utility accrual schedules to ensure expenses are recognized in the proper periods
  • Reconcile bank accounts and corporate credit card activity, resolving discrepancies and supporting the monthly close process
  • Handle sales and use tax tasks for the Florida office and assist in reviewing income statement activity for unusual fluctuations
  • Use NetSuite, expense management tools, and advanced Excel functions such as XLOOKUPs, sorting, and conditional formatting to support reconciliations and reporting

Requirements

  • Experience in staff accounting or general accounting roles with hands-on responsibility for payables, receivables, and reconciliations
  • Working knowledge of general ledger activity, journal entries, accruals, amortizations, and prepaid expense accounting
  • Familiarity with corporate tax concepts, including sales and use tax processes
  • Proficiency in Excel, including lookup formulas, conditional formatting, and data organization techniques
  • Experience using accounting software such as NetSuite and related expense management platforms
  • Strong attention to detail with the ability to identify discrepancies and follow through on resolution
  • Ability to work onsite on a permanent basis in Maryland Heights, Missouri

  • Prepare supporting schedules and submissions for applicable government funding, subsidy claims, and other receivables in a timely and accurate manner
  • Administer employee-related processes such as benefits coordination, retirement plan support, payroll questions, tax and deduction follow-up, leave administration, and unemployment documentation
  • Reconcile bank, investment, credit card, and other balance sheet accounts, and investigate variances, aging items, and unusual account activity
  • Partner with internal teams to track and reconcile fundraising and donation-related financial activity, including contributed goods and event-based transactions
  • Complete the monthly close within established deadlines and review financial results, budget-to-actual performance, and key account activity with finance leadership during the first week of each month
  • Support the annual financial statement audit by organizing documentation, responding to requests, and coordinating with external auditors and internal stakeholders
  • Contribute to special projects and additional accounting or administrative assignments as business needs arise
