We are seeking a highly organized and proactive Sr. Executive Assistant to provide support to the Chief Financial Officer (CFO). This role requires exceptional organizational and communication skills, as well as the ability to anticipate needs, streamline processes, and ensure seamless operations. The ideal candidate is a resourceful problem-solver who can implement efficient systems, manage complex schedules, prioritize competing demands, and take initiative to support both the CFO and their Leadership Team (Finance, Investor Relations, Information Technology and Global Sourcing) with professionalism and discretion.
Job Responsibility:
Manage and maintain the Executive leader’s calendar, including scheduling meetings, appointments, and travel arrangements, while ensuring timely reconciliation of expense reports
Prepare, review, and edit correspondence, communications, presentations, and other critical documents with accuracy and proficiency
Respond promptly and effectively to inquiries and requests for information, ensuring clear and timely communication
Proactively organize and prepare for meetings, including coordinating logistics, arranging events, and ensuring all materials are ready in advance
Develop and distribute meeting agendas, materials, and presentations for management and executive meetings
Lead and execute special projects beyond standard administrative responsibilities, ensuring successful completion and alignment with organizational objectives
Attend meetings, capture detailed minutes, and distribute them promptly to all relevant stakeholders
Handle sensitive and confidential information with the highest level of discretion and professionalism
Manage the press release process
Coordinate the quarterly earnings process
Serve as a point of contact for internal and external stakeholders
Collaborate with and support the Investor Relations team by aiding in the execution of the IR strategy, operating plans, budget, and the global IR program, meetings, conferences and events (e.g., Investor Day)
Handle incoming requests and inquiries via phone, email, and in person
Provide administrative support to the Executive’s direct reports
Maintain the CRM system for investors and shareholders
Maintain and manage the IR website through a third-party provider
Requirements:
Bachelor’s degree preferred
5–7 years of experience providing high-level support to executive teams or individual executive team members
Background in supporting Finance executive team and 2-3 years of Investor Relations experience preferred
Proven track record of supporting an executive team member or a full executive team in a fast-paced environment
Agile and adaptable
Ability to communicate and relate to people at all levels of the organization
Excellent verbal and written communication skills
Proficient in PowerPoint, Excel, and the Microsoft Office Suite
Proficient in Boardvantage and S&P Global Capital IQ / Capital Access
Proficient in SharePoint and Microsoft Teams
Excellent analytical, time-management, and project-management skills
Extreme attention to detail and the ability to handle multiple projects at once
