Job Description

This role provides high-level administrative support to senior executives to enhance operational efficiency and strategic coordination. It manages executive schedules, coordinates complex initiatives, and supports cross-functional collaboration within the organization. The role requires digital fluency, independent judgment, and the ability to mentor junior administrative staff. Success is measured by optimized executive time, timely completion of deliverables, and improved administrative processes. The work impacts organizational effectiveness and supports leadership in achieving business objectives and stakeholder engagement.

Job Responsibility

  • Manage executive calendars, meetings, and travel arrangements to optimize time and support strategic priorities
  • Organize and maintain administrative systems, databases, correspondence, and project tracking tools to ensure accuracy and accessibility
  • Collaborate with project teams to monitor milestones, prepare agendas, presentations, and meeting minutes to support timely deliverables
  • Mentor and coach junior administrative staff to promote skill development and effective task delegation
  • Support human resources activities including onboarding coordination and team engagement initiatives
  • Handle executive communications, budget-related tasks, expense reports, and record management to maintain operational efficiency
  • Also responsible for other duties/projects as assigned by business management as needed

  • Fully participate in managing the workflow of the executive's office in a timely and effective manner (ownership of projects, basic research for ad hoc projects, reports, staff communication, etc.)

  • Utilizing relevant technologies, develop and maintain a highly effective and efficient follow-up system
