Job Responsibility:
Serve as a central point of contact, partnering with internal departments to drive cross-functional communication and project coordination
Deliver front-line administrative support including phone coverage, email correspondence, and assisting walk-in visitors
Manage the intake, processing, and tracking of permit applications, ensuring all documentation is accurate, complete, and compliant
Maintain and update records, databases, and filing systems in accordance with municipal regulations and retention requirements
Prepare professional correspondence, reports, and public notices related to permits, projects, and public works initiatives
Assist with work order tracking, service request coordination, and project documentation management
Process payments, fees, and invoices tied to permits and services with precision and accountability
Respond to public information requests, ensuring transparency, responsiveness, and excellent community service
Uphold compliance with local ordinances, policies, and procedures while contributing to operational excellence
Requirements:
At least 3 years of administrative support experience, preferably in a government, municipal, or other public-facing environment.
Strong verbal and written communication skills, with the ability to interact effectively with staff, vendors, and the public.
Demonstrated ability to stay organized, manage multiple assignments, and maintain accuracy in a fast-paced setting.
Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
Experience handling invoices, purchase orders, accounts payable support, or related financial administrative tasks.
Customer service skills grounded in patience, professionalism, and practical problem-solving.
Familiarity with record retention, document control, and administrative support for meetings or compliance-related activities.
