We are looking for a highly organized Sr. Administrative/Executive Assistant to support senior leadership within a real estate and property organization in San Diego, California. This contract-to-permanent opportunity is ideal for someone who thrives in a fast-paced, fully in-office setting and can balance business priorities with a high level of discretion. The person in this role will serve as a trusted administrative partner, coordinating complex schedules, handling sensitive information, and helping move important projects forward with accuracy and care.
Job Responsibility
Provide high-level administrative support to senior leadership and offer additional assistance across departments as business needs arise
Draft, review, and manage clear correspondence with investors, business partners, and other external stakeholders, ensuring a discreet and confidential approach
Coordinate complex calendars, meetings, and conference calls while anticipating scheduling conflicts and adjusting priorities as needed
Arrange detailed domestic and international travel plans, including commercial and private air transportation, ground travel, and itinerary management
Support special projects by collecting, organizing, and tracking documents and information related to prospective business opportunities
Handle personal assistant duties for executive leadership, such as managing personal travel, processing mail, purchasing requested items, and completing errands
Maintain accurate electronic and physical filing systems so records, documents, and materials remain organized and easily accessible
Review invoices for completeness and accuracy before routing them for approval and payment processing
Requirements
Bachelor's degree required
Demonstrated experience in senior-level administrative support within a fast-paced, detail-focused environment
Strong calendar management skills with the ability to coordinate meetings, conference calls, and shifting executive priorities
Proven background arranging detailed travel, including multi-stop domestic and international itineraries
Excellent written and verbal communication skills, with confidence interacting with high-profile clients and business contacts
Ability to manage confidential information with discretion, sound judgment, and care
Strong organizational skills and attention to detail when handling records, documents, and invoice review
Proficiency in general administrative support functions, including correspondence, filing, and project coordination
Availability to work in an in-office setting in San Diego, California
