Job Description:

We are looking for a highly organized Sr. Administrative Coordinator to provide dedicated support to the Board of Trustees and the Senior Vice President and Secretary of the Board at a university in Baltimore, Maryland. This position is ideal for someone who brings sound judgment, adaptability, and a proactive approach to managing complex administrative needs. The successful candidate will help keep executive priorities on track through strong coordination, effective communication, and dependable day-to-day support.

Job Responsibility:

  • Manage complex calendars for senior leadership and board-related activities, ensuring meetings, appointments, and key deadlines are accurately coordinated
  • Arrange travel logistics and prepare detailed itineraries for executives and board members as needed
  • Coordinate conference calls, virtual meetings, and in-person sessions while confirming schedules, materials, and participant readiness
  • Provide high-level administrative support by preparing correspondence, organizing records, and handling a wide range of office coordination tasks
  • Support Board of Trustees operations through meeting planning, scheduling assistance, and follow-up on action items
  • Maintain and process documentation with accuracy, including materials related to domestic or international shipping and export-import requirements when applicable
  • Serve as a reliable point of contact for internal and external stakeholders, responding professionally and routing requests appropriately

Requirements:

  • Proven experience in senior-level administrative support or executive coordination roles
  • Strong background in calendar management with the ability to handle competing priorities and schedule changes
