We are looking for an experienced Sr. Administrative Assistant to provide high-level support to senior leadership within a mission-driven non-profit organization in Charlotte, North Carolina. This Long-term Contract position calls for an experienced, detail-oriented individual who can manage shifting priorities, maintain strong organization across multiple executive needs, and handle sensitive information with sound judgment. The role offers a hybrid or virtual work arrangement and will contribute to executive operations, board coordination, communication support, and event execution.
Job Responsibility
Deliver senior-level administrative support to several executive leaders, ensuring daily activities and priorities stay organized and on track
Oversee complex Outlook calendars, arrange virtual and in-person meetings across multiple time zones, and resolve scheduling conflicts efficiently
Prepare materials for board meetings, record meeting notes, and maintain orderly documentation for recurring board-related activities
Draft, edit, and coordinate executive communications, including newsletters, standard operating procedures, and support-related correspondence
Organize small-scale events by managing vendor outreach, scheduling details, travel arrangements, and onsite logistics for leadership gatherings and meetings
Maintain contracts and executive records by uploading, tracking, and organizing important documentation accurately
Process and monitor expenses through internal tools, including budget coding, card activity review, and reimbursement tracking
Partner with executive leadership and remote support resources to create smooth day-to-day administrative operations across departments
Provide flexible assistance to cross-functional leaders in areas such as advancement, programs, operations, and other executive initiatives as needed
Requirements
Experience supporting C-suite executives in an Executive Assistant or Senior Administrative Assistant capacity
strong ability to manage demanding calendars, coordinate projects, and balance multiple priorities with accuracy
hands-on experience arranging executive travel and supporting events from planning through completion
proven ability to handle confidential information with discretion and sound judgment
advanced skills in Microsoft Word, PowerPoint, Outlook, Teams, SharePoint, and Copilot, with practical working knowledge of Excel
effective written communication skills with the ability to draft, edit, and polish clear business documents
comfortable working with diverse leadership styles while remaining adaptable, proactive, and collaborative
previous experience in a non-profit or mission-focused environment and familiarity with board support are valued
