Job Responsibility

  • Provide comprehensive administrative support, including scheduling meetings, managing calendars, and coordinating conference calls
  • Arrange domestic and international travel, including flights, accommodations, and itineraries, while ensuring all travel documents are in order
  • Oversee the preparation and processing of import and export documentation to ensure compliance with regulations
  • Respond to customer inquiries and provide exceptional service, demonstrating professionalism and urgency
  • Assist in maintaining organized records, both physical and electronic, to ensure easy retrieval and compliance with company policies
  • Facilitate the preparation and management of reports, presentations, and other documents as needed
  • Collaborate with team members across departments to ensure alignment on administrative and operational priorities
  • Support trade show planning and other company events by coordinating logistics and materials
  • Identify and escalate any administrative or operational issues, working to implement effective resolutions
  • Perform general office duties such as scanning, filing, and maintaining document control

Requirements

  • Minimum of 2 years of experience in administrative support, customer service, or related roles
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint
  • advanced Excel skills are a plus
  • Strong organizational and time management abilities, with a high level of accuracy and attention to detail
  • Excellent verbal and written communication skills, with a customer-focused approach
  • Ability to manage multiple priorities effectively in a fast-paced environment
  • Familiarity with handling import/export documentation and processes is preferred
  • Demonstrates a proactive attitude, accountability, and a strong sense of urgency
