We are looking for a highly organized Sr. Administrative Assistant to support a busy legal team in New Orleans, Louisiana. This contract-to-permanent opportunity is ideal for someone who thrives in a fast-paced services environment and can balance administrative coordination with litigation support tasks. The role requires strong judgment, attention to detail, and the ability to manage schedules, documents, and communication across multiple stakeholders.
Job Responsibility:
Prepare, edit, and review legal correspondence, case materials, and other documents for accuracy and completeness
Coordinate communication with attorneys, clients, witnesses, court personnel, and other external contacts in an effective manner
Organize and maintain both physical and digital case files to ensure records are current, accessible, and properly stored
Manage attorney, firm, and conference room calendars, including scheduling meetings, depositions, mediations, and virtual sessions through Zoom or Teams
Arrange travel logistics for attorneys and support related administrative details such as time entry tracking and meeting coordination
Assist with trial and hearing preparation by gathering materials, organizing exhibits, and supporting case logistics
Handle legal support tasks such as preparing subpoenas, submitting electronic filings, coordinating service of process, and completing in-person court filings in Louisiana courts
Conduct legal research using Westlaw and help prepare presentation materials for CLE programs and internal events
Support office event planning by helping organize firm luncheons, parties, and other scheduled gatherings
Review and process service-related documents, including sheriff service receipts and other court-directed notices
Requirements:
Demonstrated experience providing senior-level administrative or legal support in a detail-oriented office environment
Strong calendar management skills with the ability to coordinate multiple schedules, meetings, and conference arrangements
Background in document preparation, proofreading, and file management across paper and electronic systems
Familiarity with legal procedures such as e-filing, subpoenas, service of process, and court filing practices
Ability to book travel, manage detailed logistics, and handle shifting priorities with minimal supervision
Proficiency with virtual meeting platforms such as Zoom and Microsoft Teams
Experience using legal research tools such as Westlaw is preferred
Excellent written and verbal communication skills with strong attention to detail and confidentiality
