Job Responsibility:
Responsible for the identification/collection, entry, maintenance, and reporting of data into the trauma registry for the Pediatric Trauma Program as required by the New York State Department of Health (NY DOH) and the National Trauma Data Bank (NTDB)
Will serve as trauma registry expert for the pediatric trauma program and ensure the registry contains accurate and reliable data for use by the program
Accurately identify all trauma admissions, transfers, and deaths, using clinical identifiers and strict inclusion/exclusion criteria
Complete and verify for accuracy all data collected according to standards outlined by regulatory bodies
Complete data abstraction of clinical information into the registry both concurrently and retrospectively while meeting frequent data deadlines
Assign and accurately score all injuries utilizing the Abbreviated Injury Scale (AIS) and validate ICD diagnostic codes, operative codes, E-codes and modify as needed
Daily tracking on hospitalized patients reviewing patient charts for additional data indicators, and completion of concurrent data abstraction
Coordinate with other program staff, departments, and agencies as needed to gather all data necessary to complete the abstraction on each patient
Clarify injury descriptions and detail when necessary from clinical providers to obtain accurate injury severity scoring and improve hospital reimbursement and resource allocation
Analyze and interpret trauma data to provide both routine and ad hoc reports of trauma statistics and quality assurance filters
Monitor security of data to ensure the integrity and reliability of database systems and ensure preventative and routine maintenance for the trauma registry
Maintain all reference materials necessary for trauma registry, coding, and abstracting
Research, evaluate and recommend changes in equipment to facilitate trauma registry
Resolve technical software or reporting issues with internal systems as well as software vendor as needed
Responsible for identifying areas for streamlining and process improvement in the data collection process
Maintain quality data standards for submission to internal/external databases via frequent validation reports
Attend registry vendor sponsored training workshops/meetings to maximize trauma registry utilization and performance
Oversee the conversion, upload, and transfer of trauma registry data to other designated database systems, including local, state, and national systems
Serve as a resource and mentor to other trauma registry staff
Serve as integral part of regulatory trauma re-verification/designation process
Serves as primary contact and responsible for timely preparation and submission of data uploads to NYS DOH and ACS TQIP
Resolves routine entry issues/problems and appropriately seeks assistance from Trauma Program Manager, Associate Trauma Program manager, and/or other specialists as necessary
Maintains primary oversight of trauma registry database, data entry, and data integrity
Establishes and maintains process for data concurrency to ensure timely, accurate data
Attends various meetings for the Pediatric Trauma Program
Attends weekly registry meeting with other members of the registry team and Pediatric Trauma Program leadership
As time and funding allow, participates in national, state, and local meetings, work groups, and educational conferences in order to maintain and expand trauma registry knowledge base
Participate in various local trauma outreach and education activities provided by Pediatric Trauma Program
Upholds continuing education requirements as set by the American College of Surgeons verification standards
Assists Pediatric Trauma Program leadership team as requested with other duties
Requirements:
Bachelor's degree
Graduation an approved Health Records Administration/Health Information Technology/Medical Records Technician program
Completion of ICD-10 coding course
Completion of Association for the Advancement of Automotive Medicine Abbreviated Injury Score course
Completion of American Trauma Society registrar course
2 years relevant experience
Nice to have:
Licensure/credentials in clinical specialty such as Registered Nurse, Licensed Practical Nurse, or Emergency Medical Technician-Paramedic
Experience with trauma registry
Experience at a level 1 trauma center
Ability to oversee and maintain multiple simultaneous projects
Excellent communication skills
Knowledge an ability to use computers including word processing, spreadsheets, graphics, e-mail
Ability to review and abstract relevant medical information from electronic medical records
Ability to visually portray data
Strong analytical and critical thinking skills to approach problems in a systematic method using ability to synthesize data and suggest recommendations
Database management and report writing
Ability to work independently on assigned projects and tasks
Certification in an approved Registered Health Information Technician upon hire
